Any misunderstanding or misinterpretation can lead to identifying a deliverable that fulfills a business requirement only in part, or worse yet, is unnecessary. Thus, it is vital to thoroughly review the business requirements with the customer to ensure that those involved are on the same page.

CRITICAL SUCCESS FACTORS SURVEY

Critical Factor #1: Deliverables Identification
Statement #1

Key stakeholders, including myself, the project team, the customer, and others participate in identifying deliverables for the project. This is a required step for all projects.

Statement #2

It is optimal to define what deliverables are required and when at the front-end of a project versus in the midst (i.e., better during the project initiation than project planning or executing).

Statement #3

A customer outlines the business requirements and describes what the final deliverable should look like. Prior to when the final deliverable is produced, it is of value to identify what intermediate deliverables are required.

 

Critical Factor #2: Business Requirements
Statement #4

When business requirements are unclear, you and anyone on your project team feel comfortable to ask for clarification. Project staff does not feel their competence will come into question regardless of the inquiry.

Statement #5

A business plan, which contains the business requirements, may be presented to the project team. These requirements should be reviewed to determine how well they align with the desired project outcome.

Statement #6

You, as the project manager, sit down with the customer and identify and flesh out the business requirements. Everyone on your project team should be familiar and understand the requirements that were agreed upon.

 

Critical Factor #3: Customer Expectations Management
Statement #7

You, your customer, and all available stakeholders meet to solidify the customer's expectations. As the project is underway, these expectations are revisited to ensure the project continues to be on track to meet those expectations.

Statement #8

Your project is complete and you are now measuring the end deliverable against the business requirements. Despite meeting most or all of the business requirements, the project can still be a failure if customer expectations are not met.

Statement #9

Sometimes, project team members or others within your organization, have ideas that even you would agree would improve the project deliverable. If the suggestions deviate from the customer expectations however, they should be shelved.

 

Critical Factor #4: Achievement of Project Goals
Statement #10

Your organization encourages individuals to step back and think about if and how their task is furthering the project goals. This ensures staff don't get overly caught up in the task details and lose sight of the overall project objectives.

Statement #11

You place a high value on attaining project goals. As such, at team meetings, you remind your project team of the project goals. If not, at a minimum, you yourself are at least mindful of the project goals.

Statement #12

Opportunities to meet with the project sponsor may be limited, and meeting durations may be short since he/she is busy. When a meeting is possible, one should point out how the project is achieving the project goal.
